From First Message to Minibus at the Door
Booking a minibus takes a few messages, not a stack of forms. You stay in charge at every stage, and nothing is charged before you say yes to a quote.
Tell us about the trip
How many people. The date. Where and when you'd like collecting, with a full address. Each stop in the order you want it and roughly how long you'll stay. Where the day finishes. For airport runs, the flight numbers.
Mention the luggage too. A minibus's rear luggage space fills quickly with every seat taken, so golf bags, suitcases, pushchairs or a wedding dress in a garment bag can decide the size. If anyone uses a wheelchair or finds steps hard, say so now and we'll ask operators for a suitable vehicle before anything is priced.
What the operator works out
Your request goes to a licensed, insured partner operator with the right vehicle free. They plan the hours, the mileage, the waiting and anything the route adds, such as the Dartford Crossing charge, a clean air zone or a coach slot at the airport. If the day is too long for one driver under the drivers' hours rules, the quote either includes a second driver or suggests a change of plan.
Reading your quote
You get one quote per trip. It sets out the vehicle type, the timings and route it covers, what's included and the cancellation terms, which vary with the operator and the vehicle. Read it against your plan, line by line, before you decide.
Saying yes, or asking for a change
Happy with it? Accept, and that's the first moment any money is taken. We then confirm the booking to you in writing. If something's off, ask for a change first; asking costs nothing and commits you to nothing.
When plans shift
A guest drops out, a flight lands late, someone wants a stop at a farm shop. Let us know as soon as you do. We'll check it with the operator, and if the price changes you'll hear before anything more is charged. Cancelling follows the terms written on your quote.
On the day
Be at the pickup point at the booked time with everyone counted. Airports rarely let a vehicle wait at the door: at Gatwick, anything with more than eight seats waits in the coach park until the group is on the forecourt, and at Stansted, cars and anything under 2.2 m tall collect from the Short Stay car park. A slow start can squeeze the last stop of the day.
Your questions
How quickly will I hear back?
It depends on the date, the route and which operators have a vehicle free. A request with every detail in it can usually be priced without a round of questions first.
Can I compare two options?
Yes. Ask for both, say one 16-seat minibus against two smaller vehicles, and each is priced.
Do I pay anything to get a quote?
Nothing at all. Money only changes hands once you've accepted.
